Admin Controls

Dropbox admin dashboard has limited capability.

• View a team member’s folder structure
• Share files and folders with others
• View, open, and download files
• Delete files, or restore deleted files

FileCloud’s centralized administrator control dashboard provides a single-page view of the complete system, including:

• User counts broken down by user types
• Storage quota
• Disk usage
• License information and system version.

The dashboard also monitors pending updates, latest files and users added to FileCloud.

FileCloud offers an array of advanced user management features to manage user devices, files, file shares and endpoint security policies. With FileCloud, admins can copy or move files from one user to another user. This feature is especially useful when admins must move a set of files from one employee to another (change of job, promotion, sabbatical, vacation).

Dropbox doesn’t offer a lot of granular user management options and easy user files management in case an employee leaves the organization.

Workflows

• Active shared folders: Number of shared folders with at least 2 members that have had activity in the last 28 days
• Active devices: The number of devices where your team members are signed in to Dropbox that have had activity in the last 28 days

• Were any new accounts created recently
• How many clients are logged in
• What are users commonly searching for on the site
• How many files are being uploaded and downloaded

Since every operation is logged, the audit database entries can grow very large very quickly.

To manage log file growth, you can:

• Remove log entries using the Admin dashboard
• Limit what operations are logged
• Export log files to CSV as an archive

Governance and Retention

Dropbox Business users have only 120 days to recover any files, unless that file has already been marked for permanent deletion. Dropbox doesn’t offer flexible approach to retention policies. Dropbox simply retains files for a set amount of time.

FileCloud allows administrators to automate some of the processing related to protecting sensitive files. For example, administrators can create a Retention Policy that disables a user’s ability to delete or edit any of the files and folders named in the policy.
